WAVE RALLY 3 — VOLUNTEER TERMS OF REGISTRATION
Version 1.4 — 10 October 2026
Event window: 6–10 January 2027
Coronation Beach, Howatharra, Western Australia
1. Your involvement
These terms apply to volunteering at the 2027 Wave Rally World Championships, organised by Windsurfing Western Australia Inc. and hosted at the Geraldton Windsurfing Club. Volunteers must be at least 18 years old at the event. Please provide accurate registration details and discuss your availability, experience and any support you need with the event team.
This is an unpaid volunteer role. Agree your duties and shifts with the organiser before starting. Any reimbursement of expenses must be agreed in advance. Registering as a volunteer does not register you as a competitor.
2. Roles, briefings and attendance
Attend the briefing for your assigned role, check in with the event team before your shift and let them know when you finish. Follow reasonable instructions, use supplied identification and protective equipment as directed, and ask if anything is unclear. Only undertake duties you are competent, trained and authorised to perform.
Please arrive at your agreed time and notify the organiser promptly if you are delayed, unwell or unable to attend. You may withdraw from volunteering; give as much notice as reasonably possible so the team can arrange cover.
3. Health, safety and emergencies
Beach and event work can involve sun, heat, wind, uneven ground, moving equipment, manual handling and proximity to the ocean. Take reasonable care for your own safety and the safety of others. Use sun protection, stay hydrated, take appropriate breaks and seek assistance with lifting or unfamiliar equipment.
Tell the organiser privately about any restriction or support need relevant to your assigned tasks. Do not undertake work that is beyond your capabilities. Stop and contact the event team if a task or condition appears unsafe. Report hazards, injuries, incidents and near misses promptly, and follow the event emergency procedures. For an immediate emergency, call 000 and alert the event team as soon as it is safe to do so.
Do not enter the water for rescue duties or operate a vessel, vehicle or rescue equipment unless specifically authorised and appropriately qualified. Do not attempt a rescue beyond your training. The organiser retains its applicable safety responsibilities; these terms do not transfer those responsibilities to volunteers.
4. Conduct and safeguarding
Treat competitors, spectators, officials and other volunteers with respect. Harassment, bullying, discrimination and unsafe behaviour are not acceptable. Do not perform duties while impaired by alcohol or drugs. Follow event safeguarding procedures and report concerns about a child or vulnerable person to the organiser promptly. Any role-specific screening or qualification requirements must be satisfied before that role begins.
5. Insurance
Any insurance available to volunteers depends on the policy in force at the event date, eligibility, insured activities, exclusions, limits and claim conditions. Registration alone does not guarantee insurance cover. The organiser should confirm the applicable cover for your assigned role before you begin. Report any injury or incident promptly so any relevant reporting and claim requirements can be checked.
General information is available from Australian Sailing’s insurance resources. Contact the organiser if you need clarification about cover for your role.
6. Photographs and video
The event may be photographed or filmed for event reporting and promotion, including the website and social media. By registering, you consent to the organiser using images of you taken while volunteering for these purposes. If you prefer not to be featured, contact the organiser before the event and make your preference known at check-in so reasonable arrangements can be discussed. Complete exclusion from incidental crowd footage cannot be guaranteed.
7. Privacy and event information
Use participant details and other non-public information accessed through your role only for authorised event duties. Do not copy, publish or share it without permission, except where required by law or necessary to report a safety or safeguarding concern to the appropriate authority. Keep records and devices secure and return event equipment and records as directed. Share personal health or support information privately with the organiser rather than in a public roster or group chat.
8. Changes to duties or the event
Weather, safety and operational needs may require changes to the schedule or duties. The organiser will communicate relevant changes and discuss suitable alternative tasks where practicable. The organiser may suspend or end a volunteer’s duties where reasonably necessary for safety, misconduct or operational reasons. You may raise concerns or decline an unsafe or unsuitable task without giving up your legal rights.
Material changes to these terms will be communicated to volunteers. They will not retrospectively remove rights, and volunteers may discuss the changes or withdraw from the role.
9. Event documents
The Notice of Race v1.18 and Event Rules and Regulations v1.18, dated 10 October 2026, are available in Files for download and provide event and safety information. Competitor entry and equipment obligations apply when competing, not simply because someone volunteers. Follow the briefing and instructions relevant to your role.
10. Liability and legal rights
Nothing in these terms excludes, restricts or modifies any right, remedy or liability that cannot lawfully be excluded, restricted or modified. The risk information and volunteer responsibilities are not a blanket release of the organiser or others from liability for their acts or omissions. Liability is determined under applicable law. These terms are governed by the laws of Western Australia, subject to any mandatory rights or jurisdiction provided by law.
11. Acceptance and contact
By registering, you confirm that you have read and understood these terms, meet the age requirement and agree to the volunteer responsibilities above. Questions, concerns or changes to availability can be directed to Paul van Bellen at info@waverally.org or 0405 446 272.
